Job Description
Sotheby's is seeking a Shipping Associate to provide administrative support to the New York Shipping Department and Traveling Exhibitions (TravEx) Manager. This role involves managing procurement workflow, record keeping, and contributing to Shipping and TravEx process refinement. The Shipping Associate will maintain all vendor accounts in accordance with contractual terms and agreements.Responsibilities include:
  • Daily oversight of the ShippingUSPayables@sothebys.com inbox
  • Reconciling differences with shipping agents and/or Shipping Coordinators
  • Acting as a point of contact for Shipping Vendors
  • Supervising the monthly ACH account reconciliation process
  • Preparing regular and ad hoc management reporting
  • Reconciling all shippers accounts
  • Investigating discrepancies between vendor quotes and invoices
  • Overseeing procurement process for TravEx
  • Booking of TravEx Security escorts
  • Parking Bids and Client Services department monthly invoices
  • Supporting maintenance of TravEx Consignment and Shipping trackers
  • Supporting creation of customs declarations and Carnet applications
  • Supporting shipping coordination
  • General record keeping for the Shipping department
Ideal candidates will possess:
  • A BA degree and 1-2 years administrative or procurement experience with basic knowledge of international & domestic shipping logistics
  • A degree or relevant experience in Finance, Business, Operations & Logistics, IT, and/or Engineering is highly desirable
  • Experience with ACH accounts and SAP systems
  • Excellent client service, analytical, and numeracy skills
  • Strong organizational skills and proficiency in Google Workplace and Microsoft Office Suite
Sotheby's offers:
