Job Description

The Financial Operations Associate role at the company supports the Operations and Finance functions, reporting to the Financial Operations Manager. This role involves finance administration and collaboration with the Finance team and Project Managers. The associate is responsible for data preparation, ensuring data quality, and assisting with monthly reconciliations within the company’s project management and accounting systems.

Responsibilities include:

  • Creating and updating Projects in Project Management system.
  • Supporting project management by assigning team members to Active projects.
  • Assisting with project lifecycle by creating Project billing milestones and revenue contracts.
  • Tracking and following-up with Project Managers that all signed Agreements are received and appropriately stored.
  • Monitoring Project Contract status and update Project Management system status.
  • Leading data monitoring and maintenance of Project Pipeline database.
  • Reconciling Project budget, timecards, and recognized revenue schedules.
  • Identifying, researching, and resolving issues regarding project discrepancies or updates.
  • Sending weekly Timecard reminders and monthly missing hours reminders.
  • Preparing reports like project financial reports, resources utilization report, capacity reports etc.
  • Supporting monthly project revenue recognition process.
  • Updating Project Management system with project expenses.
  • Supporting Finance team during audits by compiling and organizing audit data.
  • Providing operational and financial reporting support for Project Managers.
  • Creating and maintaining standard operating procedures.
  • Project Management system troubleshooting and Q&A.
  • Onboarding and offboarding users and resources in Project Management system.

Requirements:

  • Bachelor’s degree.
  • 1-2 years’ experience in Financial Force or other PSA system preferred.
  • Strong knowledge of MS Office products, especially with Excel.
  • Organized, detail-oriented, and competent follow-through skills.
  • Ability to prioritize and multi-task in a fast-paced environment while meeting deadlines.
  • Ability to execute activities within complex processes.
