Facilities Assistant and Office Coordinator

YouGov is seeking a Facilities Assistant and Office Coordinator for their Bucharest office. This role is responsible for maintaining operational excellence and ensuring a professional environment for employees and visitors. The position involves overseeing day-to-day office operations, managing vendor relationships, ensuring compliance with health and safety regulations, and supporting business continuity initiatives.Responsibilities include:

• Ensuring sustainable use of the office space.
• Organizing staff entertainment events.
• Supporting facility renovation/improvement/relocation projects.
• Reviewing expenditure against budget and reporting variances.
• Providing reporting for budget planning.
• Managing incoming invoices.
• Analyzing and proposing improvements to existing processes.
• Ensuring compliance with local health & safety legislation.
• Maintaining asset register for IT equipment.
• Supporting handling of IT equipment for new hires and leavers.
• Ensuring timely delivery of invoices and purchase orders.
• Supporting new hires and leavers with workstation setup and ergonomics assessments.

Requirements:

• 3+ years of relevant experience in an office-based international business.
• Proficiency in Microsoft Office Suite.
• Excellent written and verbal communication skills.
• Fluency in English.
• Strong multi-tasking and time-management skills.
• Knowledge of facilities standards, policies, and best practices.
• Resourceful self-starter with strong prioritization skills.
