Job Description
RPA, an independent advertising agency that puts People First, is seeking an Accounts Receivable Specialist. This role is based in Santa Monica, CA, and operates on a hybrid work model. The Accounts Receivable Specialist will be responsible for the end-to-end AR process, with a focus on client billings related to media buys and production services. This is a hands-on role requiring strong attention to detail, a high degree of ownership, and frequent cross-departmental communication to ensure timely and accurate collections.

What this role involves:
  • Process and post customer payments accurately and in a timely manner
  • Monitor, track, and manage accounts receivable balances including those related to media and production invoices
  • Maintain AR aging report on a daily basis, ensuring accuracy and up-to-date status of all client accounts
  • Proactively follow up on past-due invoices through phone, email, and internal escalation
  • Work closely with media and production teams to ensure accurate invoicing and resolve discrepancies
  • Serve as a liaison between finance and client-facing departments (e.g., account managers, media planners) to align on billing issues and client communications
  • Prepare weekly AR reports and participate in AR meetings to review collection status
  • Apply credits, process adjustments, and manage unapplied cash as needed
  • Assist with month-end close activities related to revenue and AR reconciliation
  • Support annual audits and compliance reporting with documentation and schedules as needed

Requirements:
  • Experience in Accounts Receivable, preferably within an advertising, media, or creative services environment
  • Solid understanding of AR principles, collections processes, and financial reporting
  • Experience with invoicing for media buys and production work a strong plus
  • Proficiency in accounting software (preferably NetSuite) and Excel
  • Strong interpersonal and communication skills for cross-functional collaboration
  • High level of accuracy, accountability, and organizational skills
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment
  • Experience with project-based or client-based billing models (Preferred)
  • Familiarity with media management systems or advertising industry tools (Preferred)
