Job Description
Spektrum is seeking an Administrative Assistant to support the NATO Communication and Information Agency (NCIA) in Oeiras, Portugal. The Administrative Assistant will be responsible for the efficient operation and management of the department's administrative functions, reporting to the Academy EXO.Spektrum supports apex purchasers (NATO, UN, EU, and National Government and Defence) and their Tier 1 supplier ecosystem with a wide range of specialist services. They provide their clients with professional services, specialised aerospace and defence sales, delivery, and operational subject matter expertise.
Role Involves: - Managing administrative functions for the department.
- Serving as the first point of contact for the EXO.
- Providing administrative support, including organizing meetings, taking minutes, and drafting communications.
- Coordinating the EXO diary and visit programs.
Requirements: - Demonstrated skills in Microsoft Office applications, including SharePoint.
- Experience organizing conferences and workshops.
- Excellent command of spoken and written English.
- Ability to take initiative and adapt to changing requirements.
- Excellent interpersonal skills.
- At least 5 years of experience in administrative roles.
- Previous experience in an international Military/Civilian environment.
