Job Description
A-LIGN is seeking an Office Administrator to provide administrative and executive support to the employees of the Panama office. The Office Administrator will work independently and collaboratively to ensure the successful execution of all daily office activities and initiatives. They will perform various clerical tasks, facilitate effective communication, and maintain a professional office environment.Role involves:
  • Coordinating and facilitating office activities and operations.
  • Managing agendas, travel arrangements, and appointments.
  • Handling phone calls and correspondence.
  • Supporting record keeping procedures.
  • Tracking inventory of office supplies.
  • Assisting colleagues when necessary.
  • Maintaining appointment calendar for Panama activities.
  • Providing support to the accounting and HR/legal departments.
  • Scheduling appointments and meetings.
  • Preparing memos, letters, reports, and presentations.
  • Organizing company events and conferences.
  • Overseeing adherence to office policies and procedures.
Requirements:
  • 1-2 years of general office experience preferred.
  • Ability to meet deadlines with a high degree of motivation.
  • Strong interpersonal skills with a service-oriented mindset.
  • Detail oriented, organized and able to manage multiple work streams.
  • Proactive, anticipating roadblocks, and offering solutions.
  • Strong composition, grammar, and business language skills in English and Spanish.
  • Ability to communicate with all levels of management and stakeholders.
  • Ability to coordinate complex travel schedules and plan/coordinate meetings and events.
  • Excellent judgment in handling confidential information.
  • Knowledge of Microsoft Office Suite.
