Job Description
West Cancer Center is seeking a Referral Coordinator to manage the scheduling of specialist consults, radiology services, and other outside orders. The Referral Coordinator will play a critical role in ensuring timely and efficient care coordination. This position requires exceptional communication, attention to detail, and the ability to work collaboratively with physicians, care teams, and administrative departments to meet treatment timelines. No nights, weekends, or holidays.
Responsibilities: - Utilize electronic worklists within the EMR to track and process incoming referrals
- Schedule all outside orders prior to the attending provider’s next follow-up visit
- Monitor and adhere to due dates to meet treatment guidelines
- Communicate with care teams, physicians, and scheduling staff to ensure coordination of services
- Report scheduling barriers promptly to leadership
- Confirm accuracy of referring physician and patient information
- Document status updates and patient communications in the EMR
- Follow up with patients to confirm appointments and provide scheduling support
- Enter all scheduled appointment details in the EMR
- Respond to incoming calls and emails related to referrals and outside orders
- Mail appointment reminders and rescheduling letters as needed
- Assist with ensuring continuity of care and “closing the loop” on appointment follow-through
- Notify leadership of issues or workflow challenges in a timely manner
- Support patient requests for appointment changes or updates
- Collaborate with Physician Pods for clarification or additional referral information
- Cross-train with other Referral Coordinators to support departmental efficiency
- Perform other duties as assigned
Requirements: - High school diploma or GED required
- Minimum of six months of related experience or equivalent combination of education and experience
- Excellent organizational and follow-up skills
- Strong verbal and written communication abilities
- Effective problem-solving and prioritization in a fast-paced environment
- Ability to analyze situations and respond promptly
- Proficiency in Microsoft Office applications and email
- Ability to work collaboratively across departments and with clinical teams
